# HubSpot Email validation failed vs Not a valid email address

## Intro

Your newsletter is ready. You click Schedule, and HubSpot answers with a red banner: **Error: Email validation failed.** No reason, no field highlighted, no hint about what to change.

So you check the obvious thing. Is the address wrong? Is there a bad contact on the list? You run the recipients through a verifier, rebuild the list, maybe rebuild the whole email from scratch. The error comes back anyway.

Here's what's usually going on: when it appears on send or schedule, this error has nothing to do with your contacts' email addresses. It's HubSpot telling you the *email you've built* failed its pre-send checks. This post explains how to tell which problem you actually have, walks through the fixes that work, and covers the separate question of invalid addresses, because that one is real too, and it costs you more if you ignore it.

## Two different messages that get mixed up

HubSpot has two separate error messages about email, and people searching for one often mean the other. They appear in different places and mean completely different things.

### 1. "Email validation failed": when you send or schedule a marketing email

"Email validation failed" is the red banner at the top of the screen when you click Send or Schedule. It's about the marketing email you built, not about anyone on your recipient list. HubSpot ran its pre-send checks on the email itself (tokens, footer, settings, editor warnings) and found something it won't send. Rebuilding your list won't clear it. The fixes are in the next section.

### 2. "Not a valid email address": when you add an email to HubSpot

"Not a valid email address" appears under the email field when you create a contact, or when someone submits a HubSpot form, and the email field doesn't look like an email address. Type `jonas` and HubSpot stops you. It's a formatting check, nothing more: it confirms the value is shaped like an address, not that anyone can receive mail there. `jonas@gmial.com` passes without complaint.

Neither message is real email validation. The first checks your email content; the second checks formatting. Real validation checks whether the mailbox behind an address exists, and HubSpot doesn't do that natively. It sends to the address, watches it bounce, and only then marks the contact.

That gap is the one worth closing, and we'll come back to it after the fixes.

## How to fix "email validation failed" when sending or scheduling

HubSpot doesn't tell you which check failed, so work through the likely causes in order. Start with the quick ones; rebuilding the email from scratch is the last resort, not the first.

1. **Save, leave, and reopen the email.** Click Save, go back to your email list, and open the email again. HubSpot often surfaces the real problem as a red warning at the top of the editor only after a fresh load. One user on the HubSpot Community found the actual cause this way after several failed send attempts.
2. **Clear every warning in the editor.** Open the review or preview panel and resolve each warning, even the cosmetic-looking ones. HubSpot's own community team points to formatting issues here: a footer font that's too small, or a font colour that makes the footer look hidden. HubSpot treats a footer it can't see as a compliance risk and blocks the send.
3. **Set the web version redirect URL.** If your email has a web version enabled, HubSpot needs a redirect URL for it. A missing one is a common and silent cause. Check it under the email's settings.
4. **Check your personalisation tokens.** A token that points to a property you've since deleted or renamed, or a template whose tokens were stripped out, will fail validation. Remove any token you're not sure about, then add it back from the token picker rather than typing it.
5. **Remove "(Clone)" from the email name.** Several users fixed the error simply by renaming a cloned email. It sounds trivial, but it's a two-second check.
6. **Confirm the from address.** Make sure the sending address is verified in your HubSpot account and belongs to a domain you've connected.
7. **Rebuild in a fresh template, not a clone.** If none of the above works, copy your content into a new email built from a template rather than cloned from an old send. This clears any corrupted settings the clone carried over.
8. **Contact HubSpot support.** If a fresh build still fails, the cause is on HubSpot's side or in a setting you can't see. Support is included in your subscription, and a screenshot of the error plus the email's preview link will speed things up.

What you won't find on that list: "clean your contact list." Rebuilding a list of perfectly valid recipients won't clear this error, because the error isn't about them.

## When the problem really is the address

Sometimes you *are* looking at an address problem. It just shows up somewhere else.

**On forms and new contacts.** As covered above, the "not a valid email address" check only looks at format. That check is useful but shallow. It stops `jane@@acme` and nothing more. A typo like `jane@gmial.com` or a made-up `test@test.com` passes straight through and becomes a contact. You can tighten this in the form's email field settings by blocking free or specific domains, but no form setting checks whether the mailbox exists.

**On contact records.** A hard-bounced contact is HubSpot's way of telling you an address was dead. The catch is timing. HubSpot only learns that by sending to the address and watching it bounce, and every bounce counts against your sender reputation. Push your bounce rate high enough and HubSpot steps in to protect its shared sending infrastructure, which can mean suppressed contacts or restricted sending. At that point you *will* have a campaign that won't go out, and the cause really will be your data.

Those dead addresses come from the same places in most portals: form typos, guessed addresses from enrichment tools like Apollo and Clay, old migrations, and lists that decay as people change jobs. They don't arrive once. They arrive every week.

## Stop both problems coming back

The send error is a one-off fix. Once you know the causes, build a habit around them: start new sends from a clean template rather than cloning last month's email, check the web version redirect URL before you schedule, and treat every editor warning as a blocker rather than a suggestion.

Invalid addresses need more than a habit, because the sources never stop. A one-time scrub before a big send helps, then the next enrichment run and the next month of form fills start rebuilding the backlog. What keeps a list clean is checking each address when it enters HubSpot, not after it bounces.
