How to create a report of email validation results in HubSpot using the Koalify properties

Build four HubSpot reports from Koalify's email validation properties to track valid, invalid, and risky email addresses and spot trends over time.

Koalify – Email Validation adds custom properties to your HubSpot CRM that record the outcome of every email check: whether an address is valid, why it failed, and when it was last validated. By using these properties in HubSpot reports, you can: 

  • See the overall health of your email data at a glance: how much of your database is valid, invalid, or unknown
  • Understand why addresses are failing (the reason behind each invalid result)
  • Track validation results over time and spot when bad emails are entering your CRM
  • Decide when a bulk clean-up or a re-validation is due

The four reports below cover the essentials. Email validation runs on the object that holds the email address, so in most portals these are Contact reports.

1. Email Validation Status breakdown (pie chart)

See the share of your contacts that are valid, invalid, and risky in a single view.

Go one level deeper than status to see the reason behind each result — for example undeliverable, mailbox not found, or accept-all domain.

3. Email Validation Status over time (column chart)

Track how your validation results trend over time, based on when each contact was last checked. This is the report to watch if you want to catch bad emails entering the CRM rather than reacting to a backlog.
