How to configure Formatting Rules to improve duplicate detection in HubSpot

Learn how to customize Koalify's formatting settings, including ignoring accents, subdomains, domain extensions, common words, special characters and country codes in phone numbers.

1. Navigate to the Koalify app settings page

  • In your HubSpot account, click the ⚙️ settings icon in the main navigation bar.
  • In the left sidebar menu, navigate to Integrations, Connected Apps
  • Find "Koalify", Click the Actions, Go to settings
  • Click "Edit Formatting Rules" in the Formatting Rules section

2. Edit Formatting Rule

  • Navigate to the Contact, Companies or Deals tab
  • Use the toggle switch to enable or disable a formatting rule

By default, Koalify ignores differences between uppercase and lowercase letters.

2.1 Accents

2.2 Subdomains

When this setting is enabled, subdomains are stripped from default HubSpot properties that include domain information, such as Company Domain Name and Website URL.

2.3 Domain Extensions

When this setting is enabled, domain extensions are stripped from default HubSpot properties that include domain information, such as Company Domain Name and Website URL.

2.4 Common words

When this setting is enabled, common abbreviations are removed from all HubSpot properties. Examples include: LLC, INC, COM, ORG, SRL, BV, and GMBH.

2.5 Special characters

When this setting is enabled, special characters are removed from all HubSpot properties. Examples include: (, ), /, , ., +, _, -, and &.

2.6 Phone numbers

When this setting is enabled, phone number properties are matched based on the last 9 digits of the phone numbers. This ensures duplicates can still be identified even when formatting is inconsistent or missing.
