How to correct HubSpot contact data issues

Koalify does not only identify duplicates but also pinpoints data inconsistencies. Addressing these inconsistencies is a crucial part of the "Zero HubSpot duplicates" policy and and overall CRM hygiene. This article outlines common HubSpot contact data issues and their resolutions.

Bulk update incorrect contact properties

While Koalify might indicate that certain contacts are duplicates, it's important to consider that they might be incorrect data entries rather than genuine duplicates. To resolve these HubSpot contact data issues, follow these steps:

  • Select the contacts with the data inconsistency
    • Some properties that will most likely have incorrect property values:
      • Properties which can be updated with a bulk action
        • Custom properties 
      • The following properties can not be updated with a bulk action but can be updated via a workflow
        • Phone number 
        • Mobile phone number 
        • First name
        • Last name

Remove incorrect contact (mobile) phone numbers in HubSpot

Phone numbers for contacts cannot be updated in bulk. Additionally, new incorrect phone numbers are continuously being added to HubSpot contacts. You can clean up these inaccurate phone numbers with workflow. This will prevent HubSpot users from dialing non-functional numbers and Koalify from making incorrect duplicate suggestions.

  • Create a contact workflow in HubSpot
  • Set up triggers
    • Trigger when filter criteria is met
      • Contact → "(Mobile) Phone Number" is equal to any of
      • Add the options you would like to clean
        • Some common examples
          • 000000000 
          • 1234567890
        • You can identify the relevant options for your instance by creating a count of contact by (mobile phone number) in a custom report.
  • Add action
    • CRM
      • Clear property value → "(Mobile) Phone Number"
